Asana Import & Project Sync

Keito owners and administrators on the Business plan can import Asana projects and people into Keito, then keep imported projects aligned with Asana using one-way project sync.

This guide covers import and sync only. To install Keito in Asana and track time from tasks, see the Asana integration guide.

Requirements

  • A Keito Business plan.
  • A Keito owner or administrator. Import and sync are managed in Settings > Integrations > Asana.
  • An Asana workspace already connected to Keito. See Connect The Workspace.

Grant Import Access

Import and sync need read access to Asana projects, people, and teams, which time tracking does not use.

The first time you import, go to Settings > Integrations > Asana and choose Reconnect Asana. Approve the request in Asana to grant the extra read access.

Import Projects

  1. Go to Settings > Integrations > Asana.
  2. In Import projects, tick the Asana projects you want in Keito.
  3. Choose a Keito client for each project. Keito suggests the project’s Asana team name, or the Asana workspace name, as the client.
  4. Import the selected projects.

Each imported Asana project becomes a Keito project under the client you chose.

Asana tasks are not imported. Imported projects get your workspace’s default Keito tasks instead, so they can be selected in the Asana Track time in Keito form straight away.

Import People

In Import people, invite Asana workspace members to Keito as members.

  • Keito uses each person’s name and email address from Asana.
  • Guests without an email address are skipped.
  • You can import people without sending invitations, then send the invitations later from the Team page.

Project Sync

Turn on Sync projects from Asana to keep imported projects aligned with Asana. Sync runs every 15 minutes by default, and the interval can be changed. It uses the Asana connection of an administrator you choose.

While sync is on:

  • Renaming a project in Asana renames it in Keito.
  • Archiving a project in Asana archives it in Keito. Unarchiving it in Asana restores it in Keito.
  • If Create Keito projects for new Asana projects is on, Asana projects created after sync was enabled are added to Keito.

Change a synced project’s name or archived state in Asana. Change its client, billing, budget, tasks, and assignments in Keito.

Pausing a project keeps the edits you made to it in Keito.

What Sync Never Does

  • Sync never deletes anything.
  • Sync never writes to Asana.

Import and sync read from Asana and write to Keito only. Time entries are stored in Keito.

Troubleshooting

Import or sync asks me to reconnect

The Asana connection does not have project, people, and team read access yet. Choose Reconnect Asana in Settings > Integrations > Asana and approve the request in Asana.

My Asana tasks did not come across

This is expected. Import brings in Asana projects, not their tasks. Imported projects get your workspace’s default Keito tasks, which you can change in Keito.

Someone was not imported

Guests without an email address are skipped by people import.

Imported people have not received an invitation

If you imported people without sending invitations, send them from the Team page in Keito.

A renamed or archived project has not updated

Check that Sync projects from Asana is on. Sync runs on a schedule, every 15 minutes by default, so changes appear after the next run. Sync uses the chosen administrator’s Asana connection, so check that this connection is still in place.

A new Asana project did not appear

Sync only adds projects created after sync was enabled, and only when Create Keito projects for new Asana projects is on. Use Import projects for projects that already existed.

Sync did not change a project’s client or budget

This is expected. Keito owns a synced project’s client, billing, budget, tasks, and assignments, so sync leaves them unchanged.
